A guide to posting and navigating DigitalCommons@CalPoly

Information for Advisors - Online Submission

After your student has uploaded their senior project to DigitalCommons@CalPoly, you will receive an automated email from Digital Commons, notifying you that your approval is pending. (Make sure to check your junk or clutter folder.)

Please follow the steps below for the online Digital Commons review process:

1: Agree to Review

  • Click on the link provided in the email request to review a senior project, which will take you to the review page in Digital Commons.
  • Click on the I will review it button.
    • You will be able to Download PDF after you have agreed to review the project.
    • Only click one the I will not review it button if the senior project is not associated with you and was sent to you by mistake. (Digital Commons will automatically be notified.)

2: Submit Review

 

  • Click on Submit review.
    • You may choose to click on the Download PDF button to view the project that was uploaded by the student. (Please note that you will be prompted to log in through your Cal Poly credentials before being able to download the PDF.)
  • Enter your college and department in the text box.
  • Select one of the approval options.
  • Click Submit Approval.
    • If you selected the Not approved option, it is the responsibility of the advisor to contact the student with any further action required.

3: All done!

  • You will receive an email confirmation once you have completed and submitted your review of the senior project.

Information for Departments - Online Submission

After an advisor has approved a senior project, you will receive an automated email from Digital Commons, prompting you to register a decision. (Make sure to check your junk and clutter folders.)

Please follow the steps below for the online Digital Commons review process:

1: Register a Decision

  • Navigate to digitalcommons.calpoly.edu.
  • Click on My Account.
  • Log in through your Cal Poly credentials.
  • Click on Manage Senior projects under your department's senior project header.
  • Click on the title of the senior project to review.
  • Click on Reviewers in the left sidebar to view the advisor's decision.
    • If the advisor has selected Not Approved, contact the advisor. It is their responsibility to discuss any edits that need to be completed with the student.
  • Click on Register Decision in the left sidebar.
    • To view the senior project, click on PDF next to Download above the Submission Metadata.
  • Click on Select the decision dropdown menu, and select an option.
    • If either Approved with Minor revisions, Approved with Major revisions, or Rejected is selected, it is the responsibility of the department to discuss the decision and any further action required with the student and/or advisor.
  • Click the Register Decision button on the right-hand side.
    • The auto-populated email language does not need to be edited prior to clicking Register Decision.

2: All done!

 

  • If the department has selected Approved as the decision, Digital Commons staff will post the project, making it available to the public.
